Start with the submission record

A new submission should become one visible record even when it arrives as an email thread, an ACORD form, a loss run, a supplemental application, or a carrier-specific document. Preserve the original source and link every attachment to the same record.

Define the minimum fields needed for a reviewer to decide whether the submission is ready for the next step. Avoid trying to model every possible field in the first release.

  • Capture source email, sender, insured, line of business, effective date, and assigned owner
  • Keep original documents beside extracted values
  • Show missing, conflicting, and low-confidence fields
  • Give every submission a status and next action

Where AI helps

AI can classify incoming documents, extract candidate fields, identify missing information, summarize the submission, and draft a request for clarification. Each output should link back to the source passage or document page so a reviewer can verify it.

Use deterministic rules for required fields and routing where possible. Send ambiguous documents, unusual risks, and consequential decisions to human review rather than silently accepting an AI guess.

Connect the workflow to agency systems

The first workflow may connect an inbox or intake form to an AMS, document store, task queue, and carrier or rater process. The goal is not an AMS replacement. The goal is less re-entry, a clearer owner, and a review-ready packet.

Map where the system of record lives for contact details, policy data, documents, status, and producer communication. Write corrections back only through approved permissions and audit paths.

Measure submission speed and quality

Baseline receipt-to-review-ready time, missing-information rate, manual touches, duplicate submissions, and queue age. Pair the speed measure with review corrections and exception rate so faster processing does not hide lower quality.

A useful pilot has one line of business, one team, and a defined submission volume. Expand after reviewers trust the queue and the baseline shows improvement.
