Use a small status vocabulary such as not started, information requested, under review, quote received, client decision, and bound or closed. Define what evidence moves a renewal from one state to the next.

Rules can create work at a defined lead time, identify renewals without a recent touch, and escalate items that have no owner or next action. AI can summarize prior correspondence, extract requested items, and draft a client or carrier follow-up.
