The intake problem is usually a handoff problem
New inquiries may arrive through phone calls, forms, email, referrals, or individual attorney relationships. When each channel follows a different process, response time and follow-up depend on memory.
A better intake system defines the minimum information, the first owner, the status vocabulary, and the path for exceptions.
A safer automation pattern
Use structured capture for the information the firm needs, route by practice area and urgency, and create a visible work item for every inquiry. AI may summarize an inquiry, suggest a category, or draft a follow-up for review.
Conflict checks, engagement decisions, legal advice, and other consequential steps remain governed by the firm’s approved process and accountable people.
What to measure
Track time to first response, percentage of inquiries with complete initial information, owner assignment time, follow-up completion, conversion to consultation, and matters lost because nobody knew the next step.
Start narrow
Choose one practice area or inquiry type first. Prove that the process improves response and visibility, then expand the model when the team understands the new responsibilities.
